    General Summary

    The Meeting Sales Manager’s primary objective includes selling, promoting and securing meeting  opportunities for Anaheim/Orange County which generates occupancy and tourism tax revenues for the city of Anaheim and Garden Grove.

    Responsibilities also include understanding the strategic needs of customers, offering business solutions, securing business opportunities for Visit Anaheim partners and have a detailed knowledge of the destination.

    Under the direction of the Vice President, Meeting & Partnership Sales, responsibilities will include but will not be limited to:

    Essential Functions:

    1. Responsible for developing sales plans to create awareness of destination and aggressively pursue all meeting opportunities and exceed goals based on assigned accounts and territories.
    2. Responsibilities include: selling to specific accounts/territories, create and deliver sales presentations/proposals, site visits, generate qualified leads and securing definite bookings.
    3. Strive to understand the strategic needs/objective of each customer to offer strategic business solutions and quantify the value of the business to Visit Anaheim.
    4. Nurture relationships with current clients and secure new accounts that have not utilized Anaheim/Orange County. This scope covers all sizes of meetings as assigned, as to meet the needs of Visit Anaheim partners. 

    5. Responsible for maintenance of existing accounts, customer information, sales activity reports and trace dates in Visit Anaheim Sales Database.
    6. Create new accounts and solicitation of businesses throughout targeted region/account base.
    7. Must be able to travel, when necessary, to any US destination for business development purposes.
    8. Coordinate and execute tradeshows and client events as assigned. 

    9. Coordinate sales trips and events with Sales Managers/Directors in same region to maximize customer penetration and budget/time investments. 

    10. Maintain visibility in the marketplace through membership participation in chapter meetings (MPI, PCMA, IAEE, ASAE, ESPA, etc.), as appropriate and approved. Enhance knowledge and relationships in the meetings/events industry. 

    11. Responsible for producing monthly reports, participation in conference calls, review of leads and bookings as assigned by supervisor.
    12. Management of assigned budgets and submission of expense reports accurately and timely. 

    13. Performs other duties as assigned.

    Specifications


    1. Education

    Required: 2-year associates degree.
    Preferred: 4-year college degree or equivalent

    2.  Experience

    Required: 2-years hospitality/convention bureau/sales experience. Knowledge of key markets, related industry associations, trade shows and meetings.
    Preferred: 3-years sales experience in hotels, convention bureau and/or hospitality related industry.   

    3. Abilities

    Required: Excellent communication skills: Oral and written, presentations, and business correspondence. Ability to perform multiple tasks simultaneous and sales accounts, with a high level of professionalism
    Preferred: Computer knowledge: Software programs - Simpleview, Excel,  Microsoft Office and RingCentral.

    Work week will regularly exceed 37 ½ hours and not be limited to traditional work days (Monday- Friday).  Occasional evenings and weekends are required.

    General Summary

    VISIT ANAHEIM MISSION: TO IMPACT OUR COMMUNITIES AND VISITORS THROUGH THE POWER OF TRAVEL.

    The Specialist, Destination Services & Events will provide customized support services to meeting planners of definite meetings at partner hotels throughout Anaheim/Orange County.  Additionally, provide destination support and service to meeting planners with definite events utilizing the Anaheim Convention Center with peak rooms under 1,000 and Sports Groups utilizing the ACC.

    The Specialist will also support Meeting Sales Managers on select site visits by showcasing the destination, partners and Visit Anaheim to groups/organization leaders and meeting planners.   


    Primary Duties and Responsibilities


    Responsibilities will include but will not be limited to:

    Essential Functions:

    • Exceed customer expectations.
    • Coordinate and conduct planning visits, pre-con, and post-con meetings for assigned groups.
    • On occasion, conduct site visits and showcase the destination for Meeting Sales Team.
    • Develop effective relationships with local contacts, Visit Anaheim member/partners and stakeholders to maximize results in successful sales efforts while maintaining a high level of internal and external customer satisfaction.
    • Effectively and efficiently manage the specific budget areas that are assigned to produce the highest leve of return with every dollar spent by the company and its stakeholders.
    • Support definite groups with additional overflfow hotels and room blocks.
    • Support Destination Services Managers with planning visits and events as needed.
    • Become fully proficient in CRM (Simpleview), adhere to all tracking and input requirements, as required in standard operating proceedures.
    • Maintain knowledge and status of assigned accounts and leads, including Destination Booking Agreement (DBA) commitments, client profiles, marketing initiatives, temporary staffing requirements and discuss potential CSR objectives for assigned groups.
    • When applicable, be available, via phone, text, or in person, to meeting planner during entire event; to include weekend and evenings.
    • Attend hotel pre-con and post-con meetings for assigned groups.
    • Maintain visibility in marketplace through membership and participation at industry associations such as ESPA, PCMA and MPI while enhancing on-the-job knowledge and industry network.
    • Assist department leader with projects, service programs, partner orientations and duties as assigned.

    The Bookkeeper oversees Visit Anaheim’s financial data and compliance by maintaining accurate books on accounts payable and receivables and daily financial entries and reconciliations.  This position performs daily accounting tasks such as monthly financial reporting, general ledger entries, and records payments and adjustments. 


    Primary Duties and Responsibilities


    Responsibilities will include but will not be limited to:

    • Prepare and reconcile company’s financial records to help ensure accuracy of financial    statements.
    • Conduct regular audits of internal and external systems to ensure systems are working properly.
    • Manage expense report flow and performs internal audit of expense reports.
    • Understands system to account for financial transactions and assists in managing the chart of accounts.
    • Understands all activities related to the accounts payable function including reviewing, coding, and processing payments.
    • Understands account receivable functions including invoicing, deposits, collections, and revenue recognition.
    • Supports month-end and year-end closing processes.
    • Understands and adheres to confidentiality requirements.
    • Understands fund accounting principles.
    • Will assist in managing multiple entities including 501c3, 501c6 and LLC.
    • Maintains historical records both digitally and hard copy filing per record retention policies.
    • Complies with federal, state, and local legal requirements.
    • Bank reconciliation.

    1. Assist Sr. VP of Operations & Director of Finance with special projects.
